OVERVIEW
By using www.deathcarecoach.com, referred to as this “Site”, all visitors, referred to as “user,” “you,” and “your,” are bound by these Terms of Service. The terms “we,” “us,” and “our,” refer to DeathCareCoach.Com (“Company”), owner of www.deathcarecoach.com. Accessing this Site constitutes a use of the Site and an acceptance to the Terms provided herein.
By using the Site, you agree to these Terms of Service, without modification, and acknowledge reading them. We reserve the right to change these Terms of Service or to impose new conditions on use of the Site, from time to time, in which case we will post the revised Terms of Service on this Site. By continuing to use the Site after we post any such changes means you accept the new Terms of Service with the modifications.
EOLP Renewal Retreat
Terms of Participation, Cancellation Policy & Liability Agreement
By registering for the EOLP Renewal Retreat (“Retreat”), you (“Participant”) acknowledge that you have read, understood, and agree to the following Terms of Participation. These terms are entered into between you and Death Care Coach / DeathCareCoach.com (“Company,” “we,” “us,” or “our”).
- Retreat Overview
The EOLP Renewal Retreat is an in-person educational, reflective, restorative, and community-based experience designed for personal and professional growth. Programming may include workshops, discussions, guided practices, ritual experiences, movement, wellness activities, group sharing, and other retreat offerings.
Participation is voluntary, and results will vary for each individual.
- Reservation & Payment
Your space is reserved once registration is completed and payment is received.
A $600 non-refundable deposit is required to secure your retreat reservation.
Any remaining balance must be paid in full by the date communicated at registration. If payment is not completed by the due date, we reserve the right to release your space without refund of the deposit.
If a payment plan is offered, Participant agrees to complete all scheduled payments according to the selected plan.
- Cancellation & Refund Policy
Because retreat planning requires advance commitments for lodging, staffing, meals, and venue costs, the following cancellation terms apply:
More than 60 days before retreat start date:
You may cancel and receive a refund of all monies paid minus the $600 non-refundable deposit.
60 days or less before retreat start date:
No refunds will be issued.
This policy applies regardless of personal schedule changes, travel disruptions, illness, emergencies, or other circumstances.
- Transfer / Deferment Policy
Typically, we do not offer deferments or transfers for in-person retreats.
However, if an unexpected circumstance arises more than 60 days before the retreat, you may contact us at [email protected] to discuss possible options. Any transfer or deferment is solely at the Company’s discretion and is not guaranteed.
- Travel Responsibility
Participant is solely responsible for arranging and paying for all travel related to the Retreat, including but not limited to:
- airfare
- train or ground transportation
- passports or travel documents
- travel insurance
- baggage fees
- lodging outside retreat package (if applicable)
- additional meals outside retreat programming
We are not responsible for missed flights, delays, cancellations, lost baggage, weather interruptions, or transportation issues.
We strongly encourage purchasing travel insurance.
- Off-Site Lodging
If you choose to stay off-site, you are welcome to attend the Retreat; however:
- no price adjustments will be made
- you are responsible for your own lodging arrangements
- you are responsible for transportation to and from the retreat venue or designated shuttle location
- Health, Wellness & Medical Responsibility
Participant accepts full responsibility for their physical, emotional, and mental wellbeing during the Retreat.
Please do not attend if you are experiencing contagious illness or symptoms that may impact the wellbeing of others.
If illness arises during the Retreat, Participant agrees to promptly notify our team and take appropriate precautions, which may include rest, temporary separation from group activities, seeking medical care, or early departure if necessary.
No refunds will be issued for illness, injury, or early departure.
Participant is responsible for carrying personal medical insurance and any medications they require.
- Emotional Nature of Retreat Work
This Retreat may include topics related to grief, mortality, identity, life reflection, emotional processing, and personal transformation.
Participation in these experiences is voluntary. Participant understands emotional responses may arise and accepts personal responsibility for choosing their level of engagement.
The Retreat is educational and supportive in nature and is not therapy, counseling, medical treatment, or crisis care.
- Conduct & Community Expectations
We are committed to creating a respectful, safe, and supportive retreat environment.
Participants agree to conduct themselves with maturity, kindness, and respect toward facilitators, staff, venue personnel, and fellow attendees.
Harassment, discrimination, intoxication that disrupts the group, abusive behavior, or repeated disregard for boundaries may result in removal from the Retreat without refund.
- Confidentiality
Because personal sharing may occur, participants agree to respect the privacy of others.
Stories, experiences, and personal information shared by fellow participants should not be disclosed outside the Retreat without explicit permission.
- Photography / Media Release
We may capture photographs or video during portions of the Retreat for future promotional or educational use.
By attending, Participant grants permission for reasonable use of images in which they may appear, unless Participant submits a written opt-out request before the Retreat begins.
We will make reasonable efforts to honor privacy requests.
- Assumption of Risk & Release of Liability
Participant understands that attending an in-person retreat includes inherent risks, including but not limited to travel risks, physical activity risks, emotional discomfort, illness exposure, accidents, or unforeseen events.
By attending, Participant voluntarily assumes these risks and releases the Company, its owners, employees, contractors, facilitators, venue partners, and affiliates from claims, liabilities, damages, losses, or expenses arising from participation, except where prohibited by law.
- Force Majeure
If the Retreat must be postponed, relocated, interrupted, or canceled due to events beyond our reasonable control—including severe weather, natural disaster, pandemic, venue closure, governmental restrictions, labor disruptions, or other emergencies—we shall not be liable for travel expenses or consequential losses.
In such cases, we may offer rescheduling, credit, partial refund consideration, or alternate solutions at our discretion.
- Intellectual Property
All retreat materials, teachings, written resources, processes, and content remain the intellectual property of the Company.
Materials may not be copied, reproduced, distributed, recorded, or taught as your own without prior written permission.
- Governing Law
These Terms shall be governed by the laws of the State of Maryland, without regard to conflict of law principles.
- Agreement
By registering for the EOLP Renewal Retreat, Participant confirms they have read, understood, and agreed to these Terms of Participation.

ASSIGNMENT
These Terms of Service bind and inure to the benefit of the parties’ successors and assigns. These Terms of Service are not assignable, delegable or otherwise transferable by you. Any transfer, assignment or delegation by you is invalid.
ENTIRE AGREEMENT, WAIVER, HEADINGS
These Terms constitute the entire agreement between you and the Company pertaining to the Site and Service and supersedes all prior and contemporaneous agreements, representations, and understandings between us. No waiver of any of the provisions of this Agreement by the Company shall be deemed, or shall constitute, a waiver of any other provision, whether or not similar, nor shall any waiver constitute a continuing waiver. No waiver shall be binding unless executed in writing by the Company. The subject headings of this Agreement are included for convenience only and shall not affect the construction or interpretation of any of its provisions.
